Employee and permission management

With Yandex Split, you can flexibly manage the role model:

  • Manage employees at different organization hierarchy levels: store, legal entity, or legal entity group.
  • Assign roles to employees.
  • Manage employee permissions to access personal account sections.

User roles

Note

A personal account may only have one user with the Owner (Владелец) role. If necessary, this role can be transferred to a different user.

Role

Description

Owner (Владелец)

This role at the Legal entity hierarchy level is automatically granted to the first user who registers in the personal account.

Admin (Администратор)

This role suits organization employees who manage the operation of the service. Users with this role can create organization hierarchy levels and manage the list of employees.

Developer (Разработчик)

This role suits organization employees responsible for service setup and integration.

Accountant (Бухгалтер)

This role suits employees who deal with finance: export order and payment detailed data, manage orders, view financial terms and conditions at the Legal entity hierarchy level or lower.

Manager (Менеджер)

This role suits employees responsible for performing service operations, such as generating payment links.

Operator (Оператор)

This role suits support team members or auditors. Users with this role can view the payment list but can't create payment links or make refunds.

Cashier (Кассир)

This role suits employees who work with cash registers. Users with this role can view the list of store employees but have no access to the list of payments.

Permissions to sections by role

A user's access to personal account features depends on their assigned role and the organization hierarchy level chosen in the selector.

Adding employees

Warning

When adding an employee at the legal entity or legal entity group level, you extend their assigned roles to all stores within that legal entity or legal entity group, respectively.

To limit employee roles to a single store only, add employees at the Store hierarchy level.

  1. Go to Employees.

  2. Click Add employee.

  3. Enter the employee's corporate email address.

  4. Select a role at the appropriate hierarchy level (store, legal entity, or legal entity group) and click Send notification.

    Alert

    Limits on the number of invites sent per day:

    • From a regular Yandex account: 100 invites.
    • From an organization account: 200 invites.

    The maximum number of active invites from an organization account is 1000.

  5. The employee will receive an email at the specified address with the subject line "You have been invited to the organization" from the Yandex ID Team. If the email isn't there, ask them to check their Spam folder. The invitation is one-time use and is valid for 30 days.

The created list of employees can be edited.

How employees can accept invites

To accept an invite, a Yandex ID account is required.

Click Accept invite in the email received.

  • If you're logged in to Yandex ID, a page for your current account will open with a window showing the invitation to the organization. Click Join as .

    Note

    To choose a different account in the invitation window, click the arrow to the right of your account name.

  • If you haven't logged in, you'll see a page with all your Yandex ID accounts. Choose the appropriate one and click Join as .

  1. Click Accept invite in the email received. The Yandex ID authorization page opens.

  2. Enter the corporate email address the invitation was sent to and click Create ID.

    Tip

    After completing registration, we recommend also adding your work mobile phone number to Yandex ID for stronger account security.

  3. A window opens prompting you to enter a 6-digit code to confirm your email address. Enter the code from the email received and click Next.

  4. In the window that opens next, enter the name and last name to be displayed in your Yandex Split personal account and click Next.

  5. Create and enter a password for your Yandex ID account and click Next.

  6. To continue registration, accept the Privacy Policy and the Terms of Use by clicking Register. Once you do that, you'll see a window with the invitation to the organization.

  7. Click Join as .

Exporting the list of employees

  1. In your Yandex Split personal account, go to Employees.
  2. Click above the employee list and wait for an XLSX file to load. The list contains information about the organization hierarchy level, full name, email address, role, and employee status.

Note

The list will only include the employees of the store or legal entity chosen in the selector while exporting it.

Deleting employees

  1. In your Yandex Split personal account, go to Employees.
  2. Select an employee.
  3. In the window that opens, click Delete.

Warning

If you deleted an employee or changed their role via your Yandex Split personal account, the employee's account in their Yandex ID personal account remains active.

Transferring the owner role

Only users with the Owner (Владелец) role can transfer the organization owner role to a different user. After the role transfer, the previous owner is assigned the Admin (Администратор) role.

To transfer the role to a different user:

  1. Open Yandex ID and go to your organization's Employees section.
  2. Transfer the owner role by following the instructions in Yandex ID Help.

If there are any issues with role transfer, contact support.
